Most relocation budgets fail in the same way: they list rent and flights, then discover a dozen smaller costs one at a time. A useful budget separates one-off costs from monthly ones, gives every figure a source and a date, and is honest about which numbers are still guesses.
Estimates and quotes are different things
An estimate is a figure based on published prices, listings or experience. A quote is a written price from a specific provider for your specific case, ideally with a date it is valid until. A budget can start with estimates, but decisions such as signing a lease or booking movers should rest on quotes. In every budget we prepare, each line is labeled as one or the other.
One-off costs
- Scouting visit: flights, accommodation, local transport and meals.
- Moving belongings: shipping, storage or excess baggage, plus anything you replace instead of moving.
- Temporary accommodation while you search, often for several weeks.
- Rental deposit. Polish law caps a standard residential lease deposit at twelve times the monthly rent, and a deposit under an "occasional lease" (najem okazjonalny) at six times.1 What landlords actually ask for varies; get it in writing.
- Occasional lease paperwork. This lease type requires, among other things, a tenant’s declaration made before a notary and a backup address where the tenant could live.1 Budget for the notary’s fee and the time to arrange it.
- Agent fees, if you use a property agent. Ask who pays the fee and how much, before viewings start.
- Translations, including sworn translations where an office requires them. Ask for written quotes.
- Government and residence-related fees. These depend on your situation and change over time; check the current official fee for the specific procedure.
- Professional advice from immigration, tax or legal specialists.
Monthly costs
- Rent and building charges, plus utilities that may be billed separately.
- Health cover. Options depend on your status. As one reference point, the National Health Fund publishes the minimum monthly contribution for voluntary public insurance; for July to September 2026 it was 845.67 PLN. It is recalculated every quarter, so check the current figure on the NFZ page. Eligibility conditions and an extra fee for some previously uninsured people apply.2
- Transport. A personal 30-day public transport ticket for zone 1 costs 110 PLN at the time of writing.3
- Phone, internet, groceries, eating out, gym and childcare or pet care where relevant.
- Exchange-rate exposure. If your income is in dollars, your budget in złoty moves with the exchange rate. Record the rate and date you used.
Residence costs are personal
Being able to afford Warsaw is not the same as having the right to live here. Polish temporary residence permits are issued for specific purposes such as work, business activity, family reunification or study, and remote income on its own is not one of the listed purposes.4 Your options, timelines and costs are questions for the Office for Foreigners or a qualified immigration professional.5 We do not give immigration advice.
