What we collect

  • Fit-call requests: your name, email address, current country and time zone, approximate move timing, who is moving, the service you are interested in, your neighborhood and lifestyle priorities, an optional message, a preferred call time, and whether you opted in to updates.
  • Contact messages: your name, email address, topic and message.
  • Clients: the details needed to agree and deliver your package, such as dates, scope, appointments and payment status.
  • Technical data: standard server logs (such as IP address, time and requested page) kept for security. We also count page views and form submissions as anonymous daily totals that contain no personal data.

We do not ask for passport scans, financial statements or health information. Please do not send them to us. Where a specialist you engage needs documents, they collect them directly.

Why we use it, and our legal basis

  • To respond to your request and arrange a fit call, and to prepare and deliver a package you ask for: steps at your request before entering into a contract, and performance of the contract (GDPR Art. 6(1)(b)).
  • To keep accounting and tax records: legal obligation (Art. 6(1)(c)).
  • To keep our website secure, prevent spam and abuse, and establish or defend legal claims: our legitimate interests (Art. 6(1)(f)).
  • To send occasional Warsaw guide updates, only if you tick the separate optional box: your consent (Art. 6(1)(a)). You can withdraw consent at any time, without affecting earlier processing.

Who receives your data

We use these service providers, who process data on our behalf under data processing agreements:

  • Railway Corp. (EU West, Amsterdam): Website hosting and server infrastructure (stores form submissions and technical logs).
  • Anthropic, PBC (USA): Running our AI-guided relocation system, which drafts task plans, budgets and comparisons for a person to review. We use it only under the provider’s business terms, which include a data processing agreement and do not allow the provider to train its models on your data. We share only the planning details it needs, never identity documents or financial records.
  • Resend, Inc. (USA): Sending transactional emails, such as acknowledgments and notifications.

If you engage a property agent, immigration adviser, lawyer, tax adviser or other provider, we share only the details needed for that engagement, and only with your agreement. They handle your data under their own privacy terms.

Some providers are based in the United States. Where data is transferred outside the European Economic Area, we rely on an adequacy decision (such as the EU–U.S. Data Privacy Framework, where the provider is certified) or the European Commission’s standard contractual clauses.

How long we keep it

  • Requests and messages that do not lead to a contract: up to 12 months, then deleted automatically.
  • Client and contract records: for the duration of the contract and then for as long as tax and accounting law requires (generally five full years after the end of the year of the transaction), and as needed for possible claims.
  • Marketing consent records: until you withdraw consent, plus the period needed to prove consent.
  • Server security logs: up to 30 days.

Your rights

You have the right to access your data, to correct it, to have it erased, to restrict or object to processing, and to data portability, within the limits of the GDPR. Where processing is based on consent, you may withdraw it at any time. You also have the right to complain to the Polish supervisory authority, the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warsaw, uodo.gov.pl), or to the supervisory authority where you live or work.

Is providing data required?

Providing your details is voluntary, but without them we cannot respond to your request or deliver a service. Marketing consent is always optional.

Automated decisions

We do not make decisions about you based solely on automated processing. Our AI-guided relocation system drafts plans and documents; a person reviews them and makes every decision. We do not put identity documents or financial records into general-purpose AI tools.
